Woodmont Civic Association Board Meeting Minutes

Date: September 11, 2025

Attendees: Gabe Duke, Peter Fisher-Duke, Darla Yoder, Jay Morehouse and Ed Hughes. All Board members were present.

The meeting was called to order at approximately 6:45 p.m.

Board Discussions

Sandwich Board Purchase

The Board discussed buying another large sandwich board to display information to residents entering and exiting the neighborhood at various locations, specifically to advertise the upcoming meet and greet at the Woodmont Recreation Center on November 1st.

Meet and Greet at Rec Center

The Board discussed that the Rec Center will be giving us an opportunity to set up a table on the 1st of November for a meet and greet and any discussions with homeowners.

Upcoming Elections

The Board discussed upcoming elections and sending out a Call to Serve. There may be on-line voting, and we can look into that. We could send out an email to the membership with a Call to Serve and then follow that up with a ballot of those who are willing to serve at a later date. We may keep application open until 11/14/25.

Crime Report

The Board discussed that members are still receiving the crime report via email from Chesterfield County and that is being reviewed periodically, with no real issues.

Treasurer's Report

The Treasurer reported how much was being held in the account at Wells Fargo, and it was discovered that there was also funds being held in our Paypal account, which will be transferred to our Wells Fargo checking account.

Expenses

It was discussed that currently our expenses are for the power bill, for the lights on the entrance signs, the landscape/cutting of grass, and for a P.O. Box.

Dues Notification

It was discussed that we need to send out a notice to membership to let them know when their dues should be paid, etc. We discussed sending this information out via email, U.S. Mail, and other ways.

Membership Meetings

The Board discussed the benefits of an informal meeting with membership versus a formal board meeting, pros and cons. The Board agreed that there should be a special membership in person meeting scheduled again at the Rec Center for elections, etc., with a notice sent to the membership.

Welcoming Committee

The Board also discussed focusing on the Social (Welcoming) Committee at our next Board Meeting, as there have been 37 new purchases, since our last meeting. There has been a lot of turnover recently, and it would be good for people to know that we exist. Membership should know that the Rec and Civic Associations are separate in Woodmont and where they can pay their yearly dues, etc.

Welcoming New Neighbors

The Board discussed using Zillow to assist a welcoming committee in knowing when a house is sold in the neighborhood, as well as preparing a gift for the households who have moved into the neighborhood recently.

Social Event Planning

The Board discussed having a social event for the association and possibly utilizing some space at the St. Edwards Church Catholic Church. We will be looking into whether or not this is possible and what the best dates for such a social would be for the church and the association. We will attempt to see what is available in January.
